Board Room

Located on the first floor, The Helen Service Boardroom (HSBR) is easily accessible by lift or stairs and sits up to 8 people. Being one of our smaller rooms, it is ideal for more intimate group meetings or presentations and is ideal for conducting professional interviews and board meetings.

IT equipment:

Like all our rooms, The HSBR has additional equipment available to hire to help you deliver your presentations or online meetings, including a projector, screen, Meeting OWL webcam and flipcharts. All additional equipment can be added to your booking.

Catering:

We can also provide refreshments and lunches for your meeting, including sandwiches, fruit, fruit-juices, traybakes, teas, coffees, and biscuits.  Catering is competitively priced and starts from just £2 per person. Please let us know in advance if you have other arrangements for catering. We can also cater for vegetarians, vegans and gluten-free.

Availability:

Our rooms are available for hire Monday to Thursday from 9:00am to 5:00pm, and on Fridays from 9:00am to 4:30pm. 

Short notice bookings:

If your booking is taking place within the next 24 hours, please call or email and the booking team will be happy to help but please note that lunch catering can not be booked with less than 48 hours’ notice.

If you have requirements not covered above, or if you have any queries, please don’t hesitate to contact the booking team and we will be more than happy to help.

Car parking:

We do not have carparking available onsite for meetings. Please ensure your delegates are aware of this prior to your meeting date. For meetings over 4 hours, Thimblerow Carpark (Paul St) is 5 minutes walk away. For meetings up to 4 hours, limited on-street parking is available around the Gateway in North Methven Street and Blackwatch Gardens (using the RingGo Parking App). Payment is due within 30 days of the invoice date unless otherwise agreed in writing.

Cancellation Terms

We understand that plans can sometimes change.  To ensure fairness and to allow us to manage our resources effectively, the following cancellation charges apply:
  • Cancellations made 48-72 hours in advance (for groups of over 15 people): 10% of the quoted price.
  • Cancellations made 24-48 hours in advance: 50% of the quoted price
  • Cancellations made less than 24 hours in advance: 100% of the quoted price.
  • Outside catering cancellations with less than 48 hours notice: 100% of the quoted price.
